What is it?
Every appointment booked between a patient and a provider is tracked here. Meetings sync bidirectionally with Google Calendar on the provider’s side.
Current Tech Stack
- Scheduling: custom booking system built by ThriveLab
- Video calls: Zoho Meetings (evaluating migration to Zoom)
- Calendar sync: Google Calendar per provider
Why Migrating Away from Zoho Meetings
Patients must download the Zoho Meetings app to join calls. ThriveLab’s demographic (older adults) struggles with this. The goal is a solution where the call can happen inside the ThriveLab app directly, without any third-party downloads.

Booking Flow
- Patient completes Self Assessment
- Redirected to booking screen (custom built)
- Selects provider and time slot
- Signs consent form
- Pays → triggers Lead → Contact conversion
- Meeting created in Zoho + Google Calendar synced
When booking test meetings, always select the furthest date available to avoid blocking provider calendars.
Canceling a Meeting (Correct Process)
ALWAYS cancel from within Zoho, not from Google Calendar.
- Open the Meeting record in Zoho
- Click “Cancel Intro”
- This marks the event as cancelled in Zoho AND removes it from Google Calendar
If you cancel only from Google Calendar, the Zoho record stays open and the system state becomes inconsistent.
Relationship to Other Modules
- Contacts — each Meeting linked to a Contact via Related List
- Encounters — created after a Meeting occurs (provider documents the visit)
- Zoho Meetings — the video call platform (for now)
- Google Calendar — provider-side calendar sync
